Before getting started entering data on this sheet, it is important to understand the difference between what we call a course and what we call a section.
- Course - This is a unique course title and an instructor assigned to teach the course. No matter how many sections the same teacher has of a specific course, we will only create one course for all of those sections.
- Sections - The number of unique student groups a teacher is assigned for a specific course.
Example: if a teacher is asked to teach Algebra 1A for three hours of the day, we would create one course (Algebra 1A) with three sections (one for each hour) inside that course.
To create course offerings, Michigan Virtual will need the following data:
Local Course Title
Schools typically report Local Course Titles as part of MSDS reporting, so this value should be readily available.
Local Course Code
Schools typically report Local Course Codes as part of MSDS reporting, so this value should be readily available.
This will typically be a value like 001, 002, 003.
Map to MV Title - This is a dropdown menu that the school will use to select the Michigan Virtual equivalent of the local course title. If there is no equivalent, the school should select “Blank Shell.”
Time of Year - This is also a dropdown menu that asks the school to select from the following options:
Start Date - This is the earliest date the school would like the students to be able to access the course.
End Date - This is the latest date the school would like students to be able to access the course.
Teacher First Name - First name of the teacher assigned to teach the course.
Teacher Last Name - Last name of the teacher assigned to teach the course.
Teacher Email Address - Email Address of the teacher assigned to teach the course.
Make sure that the values in column L are always unique so that there is never more than one row with the same value. The combination of local course title (column A), before the “@”symbol of the teacher’s email (column J) and the section number (column C), can only occur one time in the sheet. If it occurs more than once, those cells in column L should highlight in yellow.
There are many additional fields in the data sheet. To the right of column J are several fields for Michigan Virtual’s use and are almost all formula-based. Please do not enter or paste into these cells as it will overwrite the formulas within them. This means that when you copy and paste into columns A-J. make sure that you are not pasting entire rows into the sheet.
Columns W-AB can be used by the school to track processing progress.
Template Processed (Column W) - rows with a “Yes” means we have processed the course template in the LMS.
Offering Processed (Column X) - rows with a “Yes” means we have created the course in the LMS.
Section Processed (Column Y) - rows with a “Yes” means we have processed the course section in the LMS.
Teacher Created (Column Z) - rows with a “Yes” means we have created the teacher’s account.
Teacher Enrolled (Dept) (Column AA) - rows with a “Yes” means we have enrolled the teacher in the school (Dept) in the LMS.
Teacher Enrolled (CO) (Column AB) - rows with a “Yes” means we have enrolled the teacher in that course, and they should now be able to login to the LMS and view the course. There may or may not be students enrolled at this point.
